🎯 Role Overview
We’re looking for a professional Virtual Assistant to handle:
- Incoming calls from new customers
- Outbound calls to fresh leads
- Lead qualification
- Scheduling on our calendar
- CRM updates
- Text and email follow-up
This is a customer-facing phone role, and clear spoken English is required.
🕐 Work Hours
- Must be available Monday–Friday
- 8:00 AM – 6:00 PM Pacific Time (California)
(Some flexibility but same-day responsiveness required)
📞 Responsibilities
📥 Incoming Lead Handling
- Answer new customer calls using company greeting
- Log caller information in CRM
- Qualify job type (interior/exterior/cabinets, etc.)
- Determine urgency and estimate scheduling readiness
📤 Outbound Lead Follow-Up
- Call new leads within 5 minutes
- Attempt contact up to 5 days
- Send follow-up texts if no answer
📅 Appointment Scheduling
- Offer available time slots from calendar
- Confirm with the customer by text/email
- Ensure all decision makers can attend, or secure follow-up commitment
📋 CRM Management
- Update notes with every customer interaction
- Move leads through status stages
- Track follow-up dates and reminders
💬 Customer Service
- Answer basic questions about:
- Prep process
- Job types we offer
- Lead times and availability
- Redirect technical questions to estimator
✔️ Required Skills
- Excellent spoken and written English
- Comfortable talking on the phone
- Clear, professional tone
- Experience with customer service or outbound calling
- Organized and reliable
- Tech-savvy and quick at learning apps
⭐ Preferred (not required)
- Experience in home services (painting, remodeling, trades)
- Familiarity with CRMs (Drip Jobs, Jobber, ServiceTitan, etc.)
- Previous VA or call center experience
- Bilingual English/Spanish (huge plus)
💰 Compensation
Based on experience
- Bonuses available for booked appointments or conversions

- Answering 90%+ of incoming calls live
- Responding to new leads within 5 minutes
- Scheduling estimates accurately
- Keeping CRM fully updated
- Providing a calm and helpful first impression
